We are the data controller for the personal information described in this policy. You can contact us about anything in it at hello@oria.care or by post at the address above.
This policy explains what personal information we collect when you visit oria.care, enquire about care (through our website forms, by phone, by WhatsApp, or through a form on Facebook or Instagram), or receive services from us — and how we use, share and protect it.
Information you give us. When you make an enquiry or request a callback or assessment, we collect the details you provide, such as your name, email address, phone number, postcode, and information about the care you are looking for. If you enquire through a form on Facebook or Instagram, Meta passes us the details you submit on that form.
Information about care needs. Enquiries about care often include information about health — for example a condition, a hospital discharge, or the support someone needs day to day. This is special category data and we treat it with extra protection (see section 5).
Information collected automatically. When you use our website we and our service providers collect technical information such as your IP address, device and browser type, pages visited and how you found us. This is collected through cookies and similar technologies, subject to your cookie choices (see section 8).
We use your information to:
Lawful bases. Depending on the activity, we rely on: taking steps at your request before entering into a contract, and performing that contract (handling enquiries, providing care); our legitimate interests (running and promoting our business, improving our website); your consent (marketing cookies and similar technologies); and compliance with legal obligations (regulatory record-keeping).
Where an enquiry or care package involves information about health, we process it only as needed to assess, plan and provide care. Our lawful bases for this are the provision of health or social care (Article 9(2)(h) UK GDPR, with the safeguards in the Data Protection Act 2018) and, where we ask for it, your explicit consent. Access to this information is limited to the people who need it to respond to your enquiry or deliver care.
We do not sell your personal information. We share it only with:
Some of our service providers process data outside the UK. Where they do, we rely on appropriate safeguards such as UK adequacy regulations or the approved standard contractual clauses.
We advertise on Google and on Meta platforms (Facebook and Instagram). Subject to your cookie choices, our website uses the Google tag and the Meta pixel to measure whether our advertising works — for example, whether someone who clicked an ad went on to request a callback. This involves those companies processing technical identifiers; their use of data is also governed by their own privacy policies. We do not share details of anyone's health with advertising platforms.
If you submit an enquiry through a form on Facebook or Instagram, Meta provides us with the information you entered, and we handle it as described in this policy.
Our website uses a consent banner (Cookiebot) that lets you accept or reject non-essential cookies. You can change your choices at any time through the banner. Essential cookies needed for the website to work are always on.
We keep enquiry information for as long as needed to deal with your enquiry and for a reasonable period afterwards. Where care is provided, we keep care records for the periods required by law and regulatory guidance for health and social care records. When information is no longer needed, we delete or anonymise it.
Under UK data protection law you have the right to: access the personal information we hold about you; have inaccurate information corrected; have information erased in certain circumstances; restrict or object to certain processing; data portability; and withdraw consent where processing is based on consent.
To exercise any of these rights, contact hello@oria.care. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113, though we would welcome the chance to resolve any concern first.
We provide care to children as well as adults, and enquiries about a child's care are normally made by a parent or guardian. We only process a child's information as needed to assess and provide their care, with the appropriate adult involved throughout.
We may update this policy from time to time. The latest version will always be on this page, with the date at the top.
